Members and roles

Invite people as owner, admin, or member, and choose which apps and coworkers each member can open.

Workspace access has two layers. A role decides what someone can administer, and for members an access list decides which apps and coworkers they can open at all. Assign the least-privileged role that still lets the person do their job.

Roles

  • Owner has full workspace access, manages billing, transfers ownership, and can delete the workspace. There is one owner at a time.
  • Admin manages workspace settings, members, Connectors, connected agents, Knowledge, Data, Storage, and Pulses. An admin cannot manage billing, transfer ownership, or delete the workspace.
  • Member uses assigned apps and coworkers, workspace chats, Knowledge, and Notes. Members cannot administer the workspace or open Data, Storage, or Pulses.

Owners and admins see every app and coworker in the workspace. Members see only what is on their access lists.

Invite someone

Go to Settings, then Members, and choose Add member.

  1. Enter the email address and role

    You can invite as Member or Admin. Ownership is not assigned by invitation; it is transferred from an existing owner.

  2. Choose the app and coworker access

    When the role is Member, two checklists appear: App access and Coworker access. Tick each app and coworker this person should be able to open. The counter below each list shows how many of the available items you have selected.

  3. Send the invitation

    Choose Send invitation. The invite appears in the pending invitations list until it is accepted, and you can revoke it from there.

  4. Confirm what they can see

    After they accept, ask them to open the intended app or coworker. If it is missing, review their access list.

Changing access later

Access lists are not fixed at invitation time. On the Members list, each member’s row shows how many apps and coworkers they can reach, and the row menu offers Manage app access and Manage coworker access to change the selections. Admin and owner rows show All instead, since their access is not restricted.

The same menu holds the other membership actions:

  • Update role to move someone between Member and Admin. Changing an Admin to Member makes their access lists apply again.
  • Transfer ownership, available to the owner only.
  • Remove member, or Leave workspace on your own row.

Sharing is a separate control

An app’s Share link is independent of workspace membership. Review its access, passcode, and cloning settings separately from the workspace member list.
