Overview

Learn how a workspace organizes your team's work, resources, and access.

A workspace is your team’s shared environment in Appaca. It keeps work, resources, and access together so everyone operates with the same context.

What your workspace includes

  • Apps, with their configurations, Schedulers, and snapshots
  • Coworkers, their instructions, their chats, and their Pulses
  • Data tables and records
  • Files in Storage and processed Knowledge sources
  • Authorized Connectors and connected agents
  • Members, their roles, and their app and coworker access lists

Everything is scoped to one workspace. If you belong to more than one, check which is active before creating an app, authorizing a Connector, or uploading a file.

The workspace description is AI context

Appaca uses the workspace description as context in AI conversations. Include what your business does and any terms the AI should understand.

A practical setup sequence

  1. Fill in the workspace details

    Set the name and write the description before starting AI work.

  2. Invite people with the right role

    Keep Admin for people who genuinely administer the workspace. For members, tick only the apps and coworkers they need.

  3. Add shared resources as you need them

    Upload the Knowledge and authorize the Connectors the first workflow requires, rather than everything you might eventually want.

  4. Automate only what you have tested

    Schedule repetitive tasks for AI coworkers or apps functions.

Deleting a workspace

Only the owner can delete a workspace, and only if they own another one, so you cannot delete your last remaining workspace. Deletion is permanent: the workspace and its membership are removed, everything inside becomes unreachable, and there is no way to restore it.
