Notes

Write and organize shared workspace notes.

Notes are shared workspace documents for processes, decisions, meeting notes, and other written context. Open Notes from the main navigation.

Everyone in the workspace can read every note. There are no private notes.

Writing a note

  1. Choose New note

Appaca creates an empty note titled Untitled.

  2. Add a clear title and content

Type / on an empty line to choose a heading, list, to-do list, code block, quote, or divider.

  3. Wait for autosave

There is no save button. Wait until the Saving indicator clears before closing the page.

Select text to format it. Drag the handle beside a block to reorder it.

Folders

Use folders and clear titles to organize notes. You can create, rename, and delete folders, and move notes between them.

Finding a note

Search matches note titles, not body text.

Who can change what

Anyone in the workspace can read and edit any note. Members can delete their own notes and folders. Owners and admins can delete any note or folder.

Notes are not AI context

Notes are for people. Apps and coworkers do not use them as AI context.

To make content available to AI, use:

  • Knowledge for reference material an app or coworker should draw on
  • Coworker instructions for how a specific coworker should behave
  • The workspace description for context every conversation should have
